Use case: you bill clients by the hour, or you just want to know how long each request takes. Time tracking lets your team log time on every request, and lets clients see the hours worked if you choose.
Turn on time tracking
Go to Settings > Modules and extensions > Requests.
Turn on Request time tracking. Every request now gets a Timesheets tab.
Choose the options that appear below it:
Client access to time tracking: clients can see the Timesheets tab on their requests and access time reports.
Time rounding: round logged time up or to the nearest segment (15 minutes, 30 minutes or 1 hour) for reporting and invoicing. See How to set up time rounding.
Require approval for team time: time logged by team members stays pending until an admin approves it. See How to require approval for team time entries.
Click Save changes.
Track time with the timer
Portal admins, admins and team members can track time.
Open a request.
Click the play button next to the request title (Start timer).
While the timer runs, it shows in the top bar on every page, so you can stop it from anywhere. Hover it to see which request it belongs to, or click Go to request.
Click the pause button (Stop timer) when you're done.
The Edit time window opens. Add a description of what you worked on and tags if you use them. Billable is on by default; turn it off for time you don't charge for.
Click Save.
Good to know: only one timer can run at a time. Stop the current one before you start another.
Add time manually
Open the request and go to the Timesheets tab.
Click Add manual time.
Fill in the Add time window:
Description: what you worked on. It's optional, but it shows on timesheets and reports, so it helps.
Hours, Minutes and Seconds, or set the start and end date and time. The two stay in sync.
Tags: group entries, for example Design or Meeting.
Billable: on by default. Non-billable time isn't deducted from the client's hours balance.
Click Save.
Log time for someone else
Portal admins and admins see a user picker at the top of the Add time window. Choose the team member the time belongs to, then fill in the rest as usual.
Read the Timesheets tab
At the top, Total time tracked shows the time logged on the request. When some time is non-billable, the billable and non-billable split shows next to it. Entries are grouped by day, newest first.
With time rounding on, your team sees the actual time and the rounded time (after ≈) on every entry and in the totals.
A Non-billable badge marks time that doesn't count against the client's balance.
A Synced from Hubstaff badge marks time imported from Hubstaff. These entries can't be edited or deleted in ManyRequests. See How to connect Hubstaff to sync tracked time.
When approval is on, team time waiting for review shows in a Pending approval panel, and declined time has a Rejected badge. Pending and rejected time isn't counted in the totals.
Edit, delete or change billable status
On the Timesheets tab, find the entry.
Click the three dots next to it.
Choose Edit, Mark as non-billable (or Mark as billable) or Delete.
Team members can change their own entries. Portal admins and admins can change everyone's. For more on billable time, see How to mark entries as billable or non-billable.
What clients see
With Client access to time tracking on, clients see the Timesheets tab on their requests. They only see approved, billable time, shown as the rounded duration when rounding is on. They can't add, edit or delete time.
FAQ
Where can I see time across all requests?
Go to Reports > Timesheets. See How to generate timesheet reports.
I don't see the play button on a request.
Check that Request time tracking is on. Clients never see the timer.
Does tracked time come off the client's hours?
