How to set up time rounding

Round logged time up or to the nearest 15 minutes, 30 minutes or 1 hour for cleaner reports, balances and invoices.

Written by Gabriel Lecointere

Use case: Your team tracks time on requests, but you want the hours you report and bill to land on clean increments, such as 15 minutes, 30 minutes or 1 hour, instead of exact minutes.

How to set up time rounding

  1. Go to Settings > Modules and extensions.

  2. On the Modules tab, click Requests.

Requests module on the Modules tab
  3. On the General tab, scroll to Request time tracking and make sure it is on. Time rounding only shows when time tracking is on.

  4. Turn on Time rounding.

  5. Pick a Rounding method: Round to nearest or Round up.

  6. Pick a Time segment: 15 minutes, 30 minutes or 1 hour.

  7. Click Save changes at the bottom of the page.

How the two methods work

Round to nearest goes to the closest segment, up or down. Round up always goes to the next segment, so any time logged counts as at least one segment.

Where you see rounded time

Open a request and go to the Timesheets tab. Admins and team members see the actual time next to the rounded time, shown after the ≈ sign. Clients only see the rounded time.

For billable entries, rounded time is also what counts toward the client's hours balance, and the timesheet reports and their export include it (the export adds a Rounded Time column).

Good to know

  • Rounding is applied per entry, when the entry is saved. Each time entry is rounded on its own, not the daily or request total.

  • It is not retroactive. Entries saved before you turned rounding on, or before you changed the method or segment, keep their old value. An entry is rounded again with the current rule only when someone edits it.

  • Short entries can round to zero with Round to nearest. For example, 20 minutes rounded to the nearest hour becomes 0. Use Round up if every entry should count.

  • Time synced from Hubstaff is not rounded. It keeps the exact tracked duration.

  • If Require approval for team time is on, a team member's rounded time only counts once an admin approves the entry.
