How to generate timesheet reports

Filter, group and export your team's time, download a PDF for clients, and review pending time.

Written by Gabriel Lecointere

Timesheet reports show the time your team logged on requests, for any date range. You can filter them, group them, download a PDF to share with a client, or export a CSV.

Timesheet reports need time tracking. Turn on Request time tracking in Settings > Modules and extensions > Requests. See time tracking.

Open the report

  1. In the sidebar, go to Reports > Timesheets. The number next to it is how many time entries are waiting for your approval, if any.

  2. The report has up to three tabs:

    • Summary: a bar chart of time per day, split into billable and non-billable, charts by team member, organization, service and tag, and a table you can group.

    • Detailed: every time entry, with its request, team member, duration, billable status, tags and start and end time.

    • Pending approval: time waiting for review, if you approve time entries.

Filter the report

  1. Use Filters to narrow the report by Team member, Organization, Client, Services or Tags. You can pick several values in each filter.

  2. Use All hours to show only Billable or only Non-billable time.

  3. Click the date range to choose dates. Pick two days in the calendar, or use a shortcut such as This week, Last month or All time. The arrows next to the range move it backward or forward.

The filters and dates apply to both the Summary and Detailed tabs.

Group the Summary table

Below the charts, use Group by to group time by Service, Team member, Client or Request, and the second dropdown to group it again inside each row. Click a row to expand it.

Download a PDF or export a CSV

  • PDF: on the Summary tab, set your filters and dates, then click Download PDF at the top right. This is the easiest way to send a client a monthly report.

  • CSV: click Export CSV on the Summary or Detailed tab. The file uses your current filters and dates and has one row per time entry: time entry, team member, request number, title and link, client, duration, rounded time (when rounding is on), billable, tags, and start and end time. Only admins see this button.

Example: A client asks how many hours your team spent on their work in March. Open Reports > Timesheets, choose their organization in the Organization filter, set the date range to March 1–31, then click Download PDF.

Review pending time

If Require approval for team time is on, time logged by team members stays pending until an admin approves it. Pending time does not appear in the Summary, Detailed or CSV until it is approved. The Pending approval tab lists it by request, oldest first, with Approve, Approve all and Reject all buttons.

What team members and clients see

  • Team members with the Access timesheet reports permission see only their own time.

  • Clients see the report under Reports > Timesheets when Client access to time tracking is on and they have the Access timesheet reports permission. They only see billable time for their own organization, with the Summary and Detailed tabs, and can download a PDF too.

You manage both permissions in Settings > Modules and extensions > Users. See Role permissions for admins, team members and clients.

Good to know

  • When time rounding is on, admins see the actual time followed by the rounded time (after ≈). Clients only see the rounded time.

  • Rejected time never appears in the reports.
