How to view, restore, and control requests

Restore deleted requests, show up to 250 rows per page, follow priority and due date changes, and control who can delete or reassign requests.

Use case

Your agency handles a lot of requests and needs more control over them: bringing back a request someone deleted by mistake, working through long lists, seeing who changed what, and deciding who on your team can reassign work.

Restore deleted requests

Deleting a request doesn't erase it. Deleted requests stay in your portal, and you can find and restore them from the requests list, one at a time or several at once.

Who can restore requests: admins, plus team members and clients who are allowed to delete requests (the Delete requests permission, see below). Clients only see the deleted requests they could see before.

How to view and restore deleted requests

  1. Click Requests in the left sidebar.

  2. Click Filters at the top right of the list.

  3. Scroll to the bottom of the panel and turn on Include only deleted requests. The list now shows only deleted requests, in grey.

  4. Tick the checkbox next to each request you want back. A bar appears at the top with the number of selected items and a Restore button.

  5. Click Restore, then click Restore again in the confirmation window.

The requests go back to the list with their comments, files and history. To go back to the normal list, turn Include only deleted requests off again or click the Clear filters button (the x next to Filters) to clear all filters.

Work with long lists

The requests list shows up to 250 rows per page.

  1. Go to Requests and scroll to the bottom of the list.

  2. Click the Rows per page selector and choose 10, 15, 20, 50, 100 or 250.

To change several requests at once, tick their checkboxes. The selection bar lets you set a status for all of them, or Assign and Unassign team members (if you're allowed to edit assignees).

Follow changes in the activity log

The Activity tab of a request records what happened and who did it, including priority changes and due date changes, next to status changes, tags, assignments and comments.

Use the filter at the top right of the Activity tab to switch between All activity and Comments only.

Choose the default activity view

Admins can choose which view opens first for everyone:

  1. Go to Settings > Modules and extensions and click the gear icon on Requests.

  2. Under Default activity view, pick All activity or Comments only.

Default activity view setting with the All activity option selected
  3. Click Save changes.

Comments only hides status changes, tags and assignments, but still shows the submission, comments, proofer comments, new file versions, completion and payments. Anyone can switch views from the filter at any time.

Control who can delete requests and change assignees

  1. Go to Settings > Modules and extensions.

  2. Click the gear icon on Users.

  3. Under Team members > Requests, set the two switches:

Team members permissions with Delete requests and Edit request assignees
    • Delete requests: when on, team members can delete (and restore) requests they can view.

    • Edit request assignees: when off, team members can't add or remove the people assigned to a request, even on requests assigned to them.

  4. Click Save changes.

The Clients section of the same page has its own Delete requests switch for your clients.
