How to Mark Entries as Billable or Non-Billable

A step-by-step guide to tracking billable and non-billable time entries on requests.

Your team tracks time across different types of work– client deliverables, internal revisions, admin tasks. Not all of it should deduct from a client’s hour balance. With billable and non-billable time entries, you can track everything accurately while giving your team the flexibility to log internal work separately.

Note: Make sure Request Timetracking is enabled under Settings → Modules and Extensions → Requests before following these steps. Non-billable time won’t deduct from the client’s hours balance. If the Billable toggle is turned off, the client will not see that time entry in their timesheets.

How to Add Billable or Non-Billable Time Entry

  1. Navigate to the request you want to log time for.

  2. Click the Timesheets tab at the top of the Request Details page.

  3. Click +Add manual time in the top right corner. An Add time modal will appear.

  4. Choose the team member logging the time from the dropdown at the top of the modal.

  5. Enter a brief description of the work completed in the Description field.

  6. Fill in the Hours, Minutes, and Seconds fields for the time you want to log. The date and time range will update automatically.

  7. Add any relevant Tags to the time entry for easier filtering and reporting.

  8. By default, the Billable toggle is turned on. This means the time entry will deduct from the client’s hours balance and will be visible to the client in their timesheets. To mark the entry as non-billable, toggle Billable off. Non-billable time will still be tracked internally but will not deduct from the client’s balance and will not appear in the client’s timesheet view.

  9. Click Save to log the time entry.
