The External link extension adds a custom link to the Extensions section of the portal sidebar. Clicking it opens the page in a new browser tab, outside the portal.
Use case: your clients keep asking where to find their brand assets. You add a "Shared files" link to their sidebar that opens your shared folder, and a "Team wiki" link that only your team sees.
It works well for shared folders (Google Drive, Dropbox), docs and boards (Notion, Figma), a knowledge base, a booking page or a chat link.
How to create an external link
Go to Settings > Modules and extensions and open the Extensions tab. It lists every extension already added to your portal.
Click Add extensions.
Select External link, then click Next.
Choose who gets the link, then click Next:
For organizations (global): the same link for all clients in all organizations.
For your team (global): the same link for all team members and admins.
For each organization (local): a different link for each organization.
For your team (local): a different link for each team member and admin.
Optionally upload an Icon, then enter the Label shown in the sidebar.
For a global link, paste the full URL (starting with https://) in Code snippet.
Click Create extension. The link now appears under Extensions in the sidebar of everyone in the audience you chose.
Local links: with For each organization or For your team (local), there is no URL to enter at creation. Afterwards, open the extension from the Extensions tab and click Connect next to each organization or team member to give them their own link.
How to manage your external link
On the Extensions tab, each extension shows whether it is Enabled, with buttons to see it and to configure it.
See extension (eye icon) opens the link, so you can check where it goes.
The gear icon opens the configuration page. To rename the link, click its label at the top of the page, type the new name and click outside the field. To change the icon or the URL, edit them and click Save changes.
On the configuration page, the menu (three dots) has Disable extension, to hide the link without deleting it, and Remove extension, to delete it. Both ask you to confirm.
To embed a page inside the portal instead of linking out, see Add more functionality to your portal with extensions.
