How to customize invoices

Add the client's address, notes and your agency's billing details to invoices, and set a note that is added to every invoice.

Written by Gabriel Lecointere

Use case: You want every invoice to look professional before it reaches your client: the right billing address, a note about the work or payment terms, and your agency's up-to-date details.

Good to know: line items and the client can only be changed while an invoice is a draft. Once you send it, Edit is no longer available. Notes are the exception: admins can still edit them on a sent invoice (see below).

Add the client's address

  1. In the sidebar, click Invoices, then click Create invoice.

  2. Under Billed to, click Add client and pick the client from the list. Each entry shows the client and their organization. Only clients who own an organization are listed.

  3. The organization's billing details appear on the invoice automatically, including the PO Box when there is one. They are the billing details of the organization owner.

If only the client's name appears, their organization has no complete billing address yet (street address, city, state and country). Add it as shown in the next section.

Change a client's address

The address comes from the client's organization, so you update it there:

  1. Go to Users > Clients, open the Organizations tab and click the organization.

  2. Click the three-dot menu at the top right and select Edit billing info.

  3. Update the street address, PO Box, city, country, state and postal code. If the client buys as a company, tick I'm purchasing for a company. to add the company name and tax code shown on invoices.

Update billing window for an organization with the address fields
  4. Click Update. Invoices you create from now on use the new address.

Add notes to an invoice

  1. Create an invoice, or open a draft with Edit in its three-dot menu.

  2. Scroll down to Notes and type your text, for example payment terms or a thank-you message. You can use bold, links and lists.

  3. Click Save as draft to keep working on it later, or Send invoice to send it to the client.

Edit the notes of a sent invoice

As an admin, you can still change the notes after an invoice has been sent:

  1. In Invoices, click the three-dot menu of the invoice and select View.

  2. In the preview, double-click the text under Notes and make your changes. They are saved automatically.

Add the same note to every invoice

If you always add the same text, such as bank details or a thank-you line, let ManyRequests add it for you:

  1. Go to Settings > Modules and extensions and click Billing.

Modules and extensions page with the Billing module highlighted
  2. Open the Invoices tab.

  3. Turn on Automatic invoice note and type your text under Invoice note.

Invoices tab of the billing settings with the Automatic invoice note switch highlighted
  4. Click Save changes.

The note is added to every new invoice that has no notes of its own, including invoices created automatically when a client buys a service. Existing invoices don't change.

Edit your own billing details

Your agency's name and address appear at the top right of every invoice. To change them:

  1. Go to Settings > Modules and extensions > Billing and open the Invoices tab.

  2. Under Billing information, fill in Invoice from: (the name shown on invoices), Tax code, Country, Street address, PO Box, City, State / province (optional) and ZIP / postal code.

Billing information section with the Invoice from, Tax code and address fields
  3. Click Save changes.

Until this information is filled in, the invoice form asks you to set it up first.

Other invoice settings on this tab

  • Invoice management: if you turn it off, purchases no longer generate invoices and the Invoices page is hidden from your portal.

  • Require full address at checkout: when on, clients enter their full address at checkout, so their invoices have a complete address. When off, only the country is asked for.
