Use case: You did extra work outside a subscription, or you want to bill a client for a service by hand. Create an invoice, then send it so your client can pay online, or keep it as a draft until it's ready.
Before you start
Add your business name and address under Settings > Modules and extensions > Billing, on the Invoices tab. If this is missing, the invoice page asks you to set up your billing information first. The Invoices menu item only shows while the Billing module and Invoice management are both on.
How to create and send an invoice
Click Invoices in the left menu, then click Create invoice.
Under Billed to, click Add client and pick the client. You can search by name. The client's billing address appears on the invoice.
Click Select service and choose a service and price. To bill something that isn't a service, click Add custom invoice item instead.
Check the Rate and Quantity. A service line uses the service's price as its rate; on a custom item you type the rate yourself. Click the quantity to change it. If the service has add-ons, click Add add-on under the line to add one (the quantity of a line with add-ons can't be changed).
Click Add line item to add more lines. All lines must use the same currency, and recurring services on one invoice must have the same billing period.
Add any text you want your client to see in Notes, such as payment terms.
Click Save as draft to keep working on it later, or Send invoice to send it now. When you send it, your client gets an email with a link to pay.
What you can do after you create an invoice
Click the three dots on an invoice in the list to see its actions. What you see depends on its status.
Draft: only your team sees it. You can Edit it or Send it.
Pending: sent and waiting for payment. Use Request payment by email to email your client a reminder, Get payment link to copy the payment page link and share it yourself, or Mark as paid if your client paid you another way, for example by bank transfer.
Paid: when your client pays through Stripe, the invoice is marked paid automatically.
You can also View or Download any invoice, and portal admins and admins can Delete one. If a pending invoice is linked to a request form your client submitted, View form submission shows their answers. To download a list of your invoices, click Export at the top of the Invoices page. Other statuses you may see are Failed (the payment didn't go through) and Refunded.
Frequently asked questions
Can I edit an invoice after sending it?
No. You can only edit line items and the client on a draft. Portal admins and admins can still change the notes of a sent invoice: open it with View and double-click the notes.
Can I add a discount to an invoice?
Not on an invoice you create yourself: the invoice editor has no discount or coupon field, and line items can't have a negative rate. To give a reduction on a manual invoice, lower the Rate of a custom invoice item, or mention the reduction in Notes.
Discounts appear on invoices when a client uses a discount code at checkout. The invoice for that order then shows a Discount line under Subtotal, and taxes are calculated on the amount after the discount. To create discount codes, see How to create a discount code.
Can I change the invoice number?
No. Invoice numbers are created automatically and can't be changed.
Can I add a footnote or custom text to my invoices?
Yes. Type it in Notes when you create the invoice. To add the same note to every new invoice, turn on Automatic invoice note on the Invoices tab of the Billing settings and write your Invoice note.
How do I update the address and details shown on my invoices?
Go to Settings > Modules and extensions > Billing, open the Invoices tab and update Billing information: Invoice from:, Tax code, Country, Street address, PO Box, City, State / province (optional) and ZIP / postal code. Then save.
