How to sort, group and export your requests list

Sort the requests list, group it by status, client, organization or team member, show up to 250 rows and export it to Excel.

Written by Gabriel Lecointere

Use case: You manage a lot of requests and want to see them in a useful order, grouped by status or client, or pulled into a spreadsheet for reporting.

The requests list (Requests in the sidebar, in List view) has an options menu next to Filters. From it you can sort the list, group it, choose columns and export it.

Sort your requests

  1. Go to Requests in the sidebar.

  2. Click the options button (the sliders icon) between Filters and List.

  3. Click Sort by and choose an order.

  • Default: sorted in the order of your statuses, then the most recently updated first.

  • Newest first: the most recently updated requests at the top.

  • Oldest first: the requests updated longest ago at the top.

You can also sort by a column. Click a column name that has an arrow next to it, such as Title, Priority or Updated. Click it again to reverse the order.

Your sort order and the number of rows per page are remembered in your browser, so the list looks the same the next time you open it.

Group your requests

  1. Open the options menu again and click Group by.

  2. Choose Status, Client, Organization or Team member.

The list now shows a heading for each group, with its requests underneath.

  • Groups continue across pages, so a group that starts on page 1 carries on at the top of page 2.

  • Team member groups requests by their assignees. A request with several people assigned gets its own group named after all of them, for example "Jordan Lee, Sam Okafor". Requests with nobody assigned are under Unassigned.

  • Which groups you see depends on your role: clients can group by Status (and Team member if they can see assignees), team members can't group by Organization, and only portal admins and admins see every option.

  • Grouping isn't remembered. When you open Requests from the sidebar again, the list is ungrouped.

Show more requests per page

At the bottom of the list, open Rows per page and choose 10, 15, 20, 50, 100 or 250.

Choose your columns

Portal admins, admins and team members can click Show/Hide columns in the same menu to pick and reorder the columns in the list. See How to customize column views.

Export your requests

Portal admins and admins can download the list as an Excel file.

  1. Use the search box and Filters to narrow the list to the requests you want.

  2. Open the options menu and click Export.

  3. In Export requests, click Export.

Your browser downloads requests.xlsx. It has one row per request with these columns: Title, Number, Service, Client, Organization, Status, Assigned Users, Tags, a column for the request custom dropdown (named after its Dropdown label, and empty if you don't use one), Form (the answers to the request form), Created at, Updated At, Due date and URL.

Good to know

  • The export uses your search and filters, including status, priority, organization, client, assignee, due date, number and tags. It doesn't follow the tab you're on (Open, Completed and so on), so use the Status filter to limit it.

  • Export keeps loading? Set Sort by back to Default or Newest first and try again.

  • On a phone, tap the Filter and sort button next to the search box. The sorting, grouping and export options are in the panel that opens. Show/Hide columns is only available on larger screens.

  • To export clients and team members too, see How to export requests, client, and team data. To narrow the list first, see How to use filters.
