How to write annotations on attachments

Comment on an exact spot of an image, PDF page or video frame, then reply, resolve, sort and compare annotations across file versions.

Written by Gabriel Lecointere

Annotations let you and your clients leave comments on an exact spot of a file: a point on an image, a place on a PDF page, or a moment and area in a video. Each annotation starts a numbered thread, so feedback stays tied to what it is about.

Use case: You share a new homepage design with your client. Instead of writing "the line near the bottom left should link somewhere", they click right on that line and type their question. Your designer sees a numbered pin in the same place, replies in the thread and resolves it once it is fixed.

Which files you can annotate

  • Images: PNG, JPG, JPEG, GIF, WebP and TIFF

  • PDF files

  • Videos: MP4, MOV and WebM

The file must be shared in a comment in the request's Activity tab. Files uploaded in the request form can't be annotated.

How to add an annotation

  1. Open the request and click the file's thumbnail under Attachments in the comment where it was shared. If the file already has annotations, you can also click its name in the activity entry that says someone added a new comment in it.

  2. The file opens in the viewer. The files of the request are listed on the left, and existing annotations show as numbered pins.

  3. Click the spot you want to comment on. On a PDF, use the page arrows (Page 1/3, for example) to go to the right page first. On a video, pause at the right moment, then click the area in the frame. The annotation is pinned to that time, and a numbered marker shows on the timeline so anyone can jump to it.

  4. Type your comment in Write a message.... You can add emoji, and record a Loom video if Loom is connected to your portal.

  5. Send the comment. A numbered pin appears on the file, and the activity shows that you added a comment on that file.

You can add as many annotations as you like.

How to reply to and resolve annotations

If the comments panel is closed, click the comment count in the top right of the viewer (for example, "2 comments") to open it. It has two tabs: Active and Resolved.

  • Reply: click a pin, or a thread in the panel, to open it. Type your reply in the box at the bottom of the thread. Click the back arrow to return to the list.

  • Resolve: when the change is done, click Resolve on the thread. It moves to the Resolved tab. To reopen it, open the Resolved tab and click Unresolve.

  • Sort: use the sort button next to Comments to order threads by Date added (newest first), Date added (oldest first) or Latest activity.

  • Edit or delete: open the menu on your own comment to Edit or Delete it. You can only change your own comments. Deleting the first comment of a thread deletes the whole thread.

Anyone who can open the request, including the client, can resolve and unresolve threads.

Versions

When you upload a new version of a file, each version keeps its own annotations. Use the version menu at the top left of the viewer (it shows Latest version by default) to switch between versions and see how many comments each one has. Click Add new version to upload a new one. See Managing file versions with version control.

Zoom

Use the zoom menu at the top of the viewer to switch between Fit to window, Fit horizontally and a set percentage.

On a phone

On small screens, open the file the same way. Tap Comment at the bottom, then tap the spot you want to comment on. Use Files to switch files and Comments to see the threads.

Good to know

  • Annotations on a file shared in an internal comment are only visible to your team.

  • When someone adds an annotation, the team members assigned to the request, the client and the request's followers are notified (except the person who wrote it). Clients are not notified about annotations on internal files.
