Managing file versions with version control

Upload new versions of a file, switch between versions with their own comments, and download, reorder or preview attachments.

Written by Gabriel Lecointere

Use case: Your client comments on a homepage design, and a few days later you upload an updated file. With versions, the new file replaces the old one in the same place, older versions stay one click away, and each version keeps its own comments, so feedback never gets mixed up.

How to upload a new version of a file

Versions work for files you can comment on in the file viewer: images, PDFs and videos (MP4, WebM and MOV).

  1. Open the request and click the file in the Activity tab to open it in the file viewer.

  2. Click the version dropdown at the top left (it shows Latest version).

  3. Click Add new version and choose the updated file from your computer.

The new file becomes the Latest version and the previous ones are numbered (Version 1, Version 2 and so on). An entry saying that you uploaded a new version is added to the request activity. Anyone who can see the request activity, including your client, can add a new version.

How to view older versions

  1. In the file viewer, open the version dropdown.

  2. Pick a version. The latest version is at the top, followed by the older ones by number. Each entry shows when it was uploaded and how many comments it has.

The viewer switches to that version and shows only the comments and markers left on it.

Working with attachments

  • Reorder attachments before you post: when you attach several files to a comment, drag the thumbnails in the message box to change their order. You can reorder once all files have finished uploading.

  • Download all files from a comment: when a comment has two or more attachments, hover over it and click the download icon (Download all files). On a phone, tap the three-dots menu on the comment instead. ManyRequests prepares a ZIP file and the download starts automatically.

  • Preview spreadsheets: click a CSV, XLS or XLSX attachment to preview it without downloading it. Workbooks with several sheets show a tab per sheet. The preview shows the first 200 rows and 30 columns, and works for files up to 10 MB; for bigger files, download the file.

Tips

  • Upload the revised file as a new version instead of a new attachment, so the feedback history stays in one place.

  • Mention what changed in a comment when you upload a new version (for example "Updated the button color from your feedback").

  • Ask clients to comment on the Latest version to avoid feedback on outdated files.
