How to manage client permissions

Choose what clients can see and do: request permissions, service catalog access, invoices, cancellations and reports.

Written by Gabriel Lecointere

Use case

You want to decide what your clients can see and do in the portal, for example hide request priority, stop clients from cancelling on their own, or keep each client member to their own requests.

Client permissions apply to every client in your portal. Only portal admins can change them.

Change client permissions

  1. Go to Settings > Modules and extensions and click Users.

Modules and extensions page with the Users module highlighted
  2. Scroll down to the Clients section.

  3. Turn the switches on or off (see the list below).

  4. Click Save changes.

What each permission does

Requests

Clients section, Requests group, with the request permission switches
  • Access all requests: when off, clients only see requests they created themselves, not requests from others in their organization.

  • Change request status: clients can change the status of a request.

  • Submit requests: when off, clients can't submit requests.

  • See request priority: clients can see request priority. When on, a second switch appears: Change request priority.

  • See request tags: clients can see request tags. When on, a second switch appears: Manage request tags.

  • See request assignees: clients can see who a request is assigned to.

  • Delete comments on requests: clients can delete comments they left on requests.

  • See request due date: clients can see due dates. When on, a second switch appears: Edit request due date.

  • Edit request fields: clients can edit the fields in their requests.

  • Clone requests: clients can clone requests.

  • Delete requests: clients can delete requests they can view.

Services, Billing and Reports

Clients section with the Services, Billing and Reports groups
  • Block services and catalog access: when on, clients can't view services or use the catalog page. See How to hide the service catalog from clients' dashboards.

  • Access invoices: when off, clients can't open their list of invoices.

  • Cancel subscriptions: when off, clients can't cancel their subscriptions themselves.

  • Access timesheet reports: when off, clients can't open the timesheet reports.

  • Access credit reports: when off, clients can't open the credit reports.

Show your own message when cancelling is blocked

When Cancel subscriptions is off, clients who try to cancel see a message instead. You can write your own:

  1. Go to Settings > Modules and extensions > Billing and open the Subscriptions tab.

  2. Under Cancellation blocked message, fill in the Title and Message. Leave them empty to show the default message.

  3. Click Save changes.

For more on pausing and cancelling, see How to disable the cancel or pause subscription option.
