How to use Kanban

Switch to the Kanban board, move and add requests as cards, manage columns, set cover images and choose Kanban settings.

Written by Gabriel Lecointere

Use case: your team juggles a dozen client requests at different stages. On a Kanban board, every request is a card in a column for its status, so you see at a glance what is waiting, in progress or done, and move work forward by dragging a card.

How to switch to Kanban view

  1. Go to Requests.

  2. Click the view menu at the top right (it shows the current view, for example List).

  3. Select Kanban.

Your choice is remembered the next time you open the page. Depending on your settings, the menu can also offer Queue and Workload. Your clients have the same view menu on their Requests page.

How to use the board

Each column is a request status, with the number of requests in it. Each card shows the request number and title, priority, tags, client and organization, due date and assigned team members. A cover image appears at the top of the card when one is set.

  • Click a card's title to open the request.

  • Drag a card to another column to change its status. Admins and team members can do this by default; clients can't move cards.

  • Use Search and Filters at the top to narrow the board, just like in List view.

How to add a request from the board

  1. Click Add request at the bottom of a column (or the plus icon at the top of the column).

  2. Type the request name. Your team can also pick the client; then choose the service.

  3. Press Enter or click Save. The card appears in that column.

Admins and team members who can change statuses can add a card in any column. Everyone else adds cards to the status new requests start in.

How to manage columns (admins)

  • To add a column, scroll to the right end of the board and click Add section. This creates a new request status.

  • To rename a column or change its color, click the pencil icon next to its name.

  • To reorder columns, drag a column by its header.

Card options

Hover over a card and click the three dots at its top right:

  • Rename: edit the title right on the card.

  • Upload a new cover: set the card's cover image (see below).

  • Delete: delete the request, after you confirm. You can restore it later, see How to view, restore, and control requests.

The options you see depend on your permissions.

How to add a cover image to a card

A cover makes a card easy to recognize, for example with a mockup or a design preview. Your team can set covers on requests that belong to a client organization.

  1. On the card, click the three dots and select Upload a new cover.

  2. Under Available covers, click one of the images already in the request's files, or click Upload a new cover image to upload one from your computer.

  3. To change the cover, repeat the steps and choose another image.

  4. To take it off, click Remove cover.

Clients see the cover on their own board too.

Kanban settings

Go to Settings > Modules and extensions and open Requests:

  • Kanban view by default: requests open in Kanban view for everyone. Clients can still switch views. If the requests queue is on, it takes precedence.

  • Allow clients to create requests as cards: clients can add a request from the board with just a title. When it's off, they must use the full request form.

Click Save changes after changing a setting.

What your clients see

Clients see a board with their own requests. When Allow clients to create requests as cards is on, they get an Add request button in the column where new requests start.

Tips

  • Use landscape images for covers: the card shows a short, wide strip of the image.

  • Prefer to line up client work in order of priority? See How to use the requests queue.
