How to set up a custom email domain

Send portal notifications from your own address: add your email domain, create the TXT and CNAME records, and validate them.

Plan requirement: a custom email domain needs the Pro plan. On other plans, the Set up custom domain link is greyed out.

Use case: You want the emails your clients get from the portal, such as request updates, invoice reminders and invitations, to come from your own address, for example [email protected], instead of the default ManyRequests address.

Portal admins and admins can set this up. You need access to your domain's DNS settings (at your domain provider) to add two records.

How to set up a custom email domain

  1. Go to Settings > Portal and open the Advanced tab.

  2. Next to Custom email domain, click Set up custom domain.

  3. In Email address, type the address you want to send from, for example [email protected]. Then click Add email domain.

  4. You see the message Custom email domain added. Please configure your DNS records. and two DNS records:

    • a TXT record (DKIM), which proves you own the domain

    • a CNAME record (Return-Path), which handles bounces

Each record shows a Name and a Value. Add both records at your domain provider exactly as shown. Use the copy icon next to each field: the TXT value is very long, and one missing character makes validation fail.

  5. Back in ManyRequests, click Validate. ManyRequests checks both records. Each record shows Pending, Verified or Failed, and you can click Re-validate to check again.

  6. When both records are verified, you see Email domain configured and the status Active. From then on, notifications are sent from your address.

Good to know: until both records are verified, your portal keeps sending from the default ManyRequests address. If only one record is verified, you see a message that some records are still pending.

DNS propagation

New DNS records can take from a few hours up to 48 hours to spread. If validation fails at first, that is normal: wait and click Re-validate later.

To check progress, use a free DNS checker such as whatsmydns.net or dnschecker.org. Look up the Name of each record from ManyRequests: choose TXT for the DKIM record and CNAME for the Return-Path record. When most locations show the value from ManyRequests, the record has propagated.

Change your email address or domain

Once your custom email domain is active, you can change the address it sends from.

  1. On the Custom email domain page, click Edit.

  2. ManyRequests reminds you in Change email domain that a new domain needs DNS verification, and that your current address keeps working for 24 hours after the new domain is verified. Click Continue.

  3. Type the address in New email address and click Update email domain.

If you only change the part before the @ on the same domain (for example from notifications@ to hello@), the change applies right away and no new DNS records are needed. If you switch to a new domain, ManyRequests shows two new DNS records: add and validate them as described above.

Remove your custom email domain

On the Custom email domain page, click Remove custom email domain and confirm with Yes, remove email domain. Your notifications go back to the default ManyRequests address. You can then delete the two DNS records at your domain provider.
