How to choose which columns clients see

Turn on client custom columns and pick which columns, including request form fields, your clients see in their requests list.

Written by Gabriel Lecointere

Use case: Your clients only care about a few things when they scan their requests: the number, the status and the due date. You pick exactly those columns, plus the answer to a question from your request form, so their list stays short and useful.

What are client columns?

By default, clients see a standard set of columns in their requests list, and they can't change them. With Client custom columns turned on, you choose which columns every client sees and in what order.

Besides the standard columns (such as Number, Status, Assigned to, Priority, Updated and Due date), the list includes the fields from your request forms. Any form question can become a column, so clients see their own answers at a glance.

How to choose which columns clients see

  1. Go to Settings > Modules and extensions and click Requests.

  2. Scroll down to Client custom columns and turn it on.

  3. Click Configure client columns.

  4. In the Show/Hide columns window, tick the columns clients should see and untick the rest. Drag a column by its handle to change the order. Form fields, like Deliverable type here, appear in the same list.

  5. Click Save changes in the window, then click Save changes at the bottom of the settings page to apply it.

Every client in your portal now sees these columns in their requests list. To start over, open Configure client columns and click Reset.

Good to know

  • You need to configure the columns before you can save with the switch on.

  • The setting applies to all clients. You can't set different columns per client or organization.

  • Turn Client custom columns off at any time to go back to the default columns. Your choice is kept if you turn it on again later.

  • Clients still can't pick their own columns. Team members and admins choose their own columns from the requests list. See How to customize column views.

  • The window lists column names as your team sees them. For example, the Client column shows as Created by to clients.
