How to filter the request activity feed

Switch a request's Activity tab between All activity and Comments only, and choose which view opens by default for your portal.

Written by Gabriel Lecointere

Use case: A request has a long history of status changes, tags and assignments, and you only want to read the conversation with your client.

The Activity tab on a request shows everything that happened on it: comments, files, status changes, tags, assignments, due date and priority changes. The activity filter lets you switch to Comments only, which hides the housekeeping and keeps the conversation.

Filter the activity on a request

  1. Open a request. The Activity tab is the first tab.

  2. Click the filter button at the top right of the tab. It shows the current view, for example All.

  3. Choose Comments only.

The feed reloads and the button now reads Comments only. To see everything again, open the filter and choose All activity.

With All activity, the feed includes entries such as a tag being added or the priority changing:

With Comments only, the same request shows just the messages and files:

What "Comments only" shows and hides

Still shown

Hidden

The request submission

Status changes (other than completion)

Comments, including internal comments for your team

Tags added or removed

Comments on files (proofing)

Assignments

New file versions

Priority and due date changes

The request being completed

Time estimate changes, and the client being set on the request

A service being added to the request

Client reviews and payments

Filtering only changes what you see. Nothing is deleted, and other people's view isn't affected.

Set the default view for your portal

Portal admins and admins can choose which view the Activity tab opens with, for everyone.

  1. Go to Settings > Modules and extensions and click Requests.

  2. Under Default activity view, choose All activity or Comments only.

  3. Click Save changes.

Every request now opens with that view. Team members and clients can still switch with the filter at any time.

Good to know

  • Your choice isn't remembered. When you open another request or reload the page, the feed goes back to the portal's default view.

  • On a phone, the filter button shows only the funnel icon. The icon turns blue when Comments only is on.

  • Clients see the same filter on their requests, as long as they have access to the Activity tab. See How to manage client permissions.

  • For all other Requests settings, see the article "Requests module settings explained".
