How to update multiple requests at once

Select several requests in the list to change their status, assign or unassign team members, or restore them in one go.

Written by Gabriel Lecointere

Use case: A client paused a project and you need to put six requests on hold, or a designer is joining a big account and should be added to all of its open requests. Instead of opening each request, select them in the list and change them together.

Bulk actions work in the List view of the requests page. Portal admins, admins and team members can use them; clients can't select requests.

Select the requests

  1. Click Requests in the left sidebar and make sure you're in the List view.

  2. Use the tabs and Filters to narrow the list down, for example to one organization or status.

  3. Tick the checkbox next to each request you want to change. A bar appears at the top showing how many items are selected (on a phone, it sits at the bottom of the screen). Tick the checkbox in that bar to select every request on the current page, or untick it to clear the selection.

Only the requests on the page you're looking at can be selected. To act on more at once, raise the number of rows per page at the bottom of the list (up to 250).

Change the status

  1. With your requests selected, open Select a status.

  2. Pick the new status. It's applied to all selected requests straight away, and you'll see a confirmation message.

Select a status dropdown open in the bulk actions bar

Assign or unassign team members

  1. Click the + next to Assign (or Unassign).

  2. Tick the people you want to add (or remove). Use Search to find someone quickly.

  3. Click Update. Click Cancel to close the list without changing anything.

Assign adds people on top of the current assignees; it never removes anyone. Unassign only removes the people you tick. Newly assigned team members get the usual assignment notification.

Good to know: Assign and Unassign only show up if you're allowed to change assignees. For team members, admins control this with the Edit request assignees switch under Settings > Modules and extensions > Users. See How to view, restore, and control requests.

Restore deleted requests in bulk

  1. On the requests page, click Filters and turn on Include only deleted requests.

  2. Select the requests you want back.

  3. Click Restore, then click Restore again in the confirmation window.

You need the permission to delete requests to see the checkboxes in this view.

FAQ

Can I delete or change the due date of several requests at once?

No. Bulk actions cover status, assignees and restoring deleted requests. Other fields are changed request by request.

Can I use bulk actions in the Kanban view?

No. Switch to the List view first. In Kanban you can still drag a card to another column to change its status.
