How to manage manual payments

Accept bank transfers and other offline payments, show clients your instructions at checkout, and mark their invoices as paid.

When a client can't pay through Stripe, you can accept manual payments instead.

What are manual payments?

Payments you collect outside ManyRequests, for example bank transfers, Wise transfers or cheques. You check the money arrived, then mark the invoice as paid.

Set up manual payments

  1. In the sidebar, open Settings and click Modules and extensions. Click Billing.

  2. On the Payments tab, turn on Enable manual payments.

  3. Fill in the two fields:

    • Payment method name: the name clients see at checkout, for example Bank transfer.

    • Instructions: how to pay, such as your account holder and account number.

  4. Click Save changes.

What clients see at checkout

Clients choose your manual method (here, Bank transfer) under Payment method. They see your instructions and can enter a Payment number or payment reference, for example their transfer ID.

Checkout with Bank transfer selected, showing the instructions and the payment reference field highlighted

When they submit, ManyRequests creates a pending invoice. The client gets their service, subscription or request only after you mark the invoice as paid. The reference they entered shows on the invoice as Payment reference.

Mark a manual payment as paid

  1. Check the payment reached your account. Compare the client name, invoice number, amount and payment reference.

  2. In the sidebar, click Invoices. To find manual payments waiting for you, click Filters and set Payment method to Manual and Status to Pending.

  3. Click the three dots on the invoice and click Mark as paid.

The invoice is marked as paid right away, without a confirmation step. The client can then use what they bought.

Good to know: from the same menu you can use Request payment by email to remind the client, or Get payment link to send them a link to the invoice.
