How to upgrade or downgrade subscriptions

Set up which plans clients can switch to, then upgrade or downgrade a Stripe subscription as an admin or let clients do it themselves.

Written by Gabriel Lecointere

Use case

A client wants to move to a higher or lower plan. You can switch their subscription for them, or let them do it themselves from their portal, without any back and forth over messages.

Note: Upgrades and downgrades work only for subscriptions paid through Stripe. Subscriptions you added manually can't be switched this way.

Choose which plans clients can switch to

Clients only see the Update option when the service they subscribed to has upgrade and downgrade paths. Set them up on each recurring service:

  1. In the sidebar, open Services and click All services. Click the three dots next to the service and click Edit.

  2. On the Pricing details step, scroll down to Upgrade & downgrade paths.

  3. Pick the plans clients can move to:

    • With Allow billing period changes off, choose services under Available services. Clients can switch to those services on the same billing period they have now (for example, monthly to monthly).

    • With Allow billing period changes on, choose exact plans under Available service variations, for example the annual price of another service. Clients can then also change their billing period.

  4. Click Next through the remaining steps and click Save.

Good to know: turning Allow billing period changes on or off clears the plans you selected, so pick them again after you switch it.

Upgrade or downgrade a subscription as an admin

  1. In the sidebar, open Users and click Clients. Open the Organizations tab and click the client's organization.

  2. On the Services and subscriptions tab, hover over the subscription and click the three dots in its top-right corner. Click Update.

  3. In the Update subscription window, choose the new plan under Select a service to upgrade or downgrade to. As an admin you can pick any Stripe plan, not only the paths you set up for clients.

  4. Review the add-ons. Add-ons that still exist on the new plan carry over. Add-ons listed under No longer available are not offered on the new plan; remove them or keep them as they are. You can also add a new add-on here.

  5. Optionally, enter a Coupon code and click Apply.

  6. Decide when the change happens. Tick Apply the change at the end of the current billing period (no immediate charge) to switch at renewal. Leave it unticked to switch now; the window shows the prorated amount before you confirm.

  7. Click Submit.

If the new plan bills on a different period (for example, monthly to annually), the change can only happen at the end of the current period. The option is ticked for you and can't be changed.

A scheduled change shows on the subscription card until the renewal date:

To undo it, click Cancel scheduled change in the notice, or in the card's three-dots menu.

Upgrade or downgrade as a client

  1. In the sidebar, click Settings, then Profile and account. Open the Subscription tab.

  2. Hover over the subscription, click the three dots in its top-right corner and click Update.

  3. On the Update your plan page, pick a plan and click Upgrade or Downgrade. If you allow billing period changes, the plans are grouped in tabs by billing period. If no paths are set up, the page shows No plans available for upgrade.

  4. In the Confirm upgrade or Confirm downgrade window, review the add-ons and the amount, and add a Coupon code if you have one.

  5. For an upgrade, tick Schedule change at end of billing period (no immediate charge) to switch at renewal, or leave it unticked to switch now. If the new plan bills on a different period, the change is always scheduled for the end of the current period. Downgrades are always scheduled for the end of the billing period.

  6. Click Confirm upgrade or Confirm downgrade.

Clients see the same scheduled change notice on their Subscription tab, and can cancel it from there:

FAQ

Why don't I see Update in the menu?

The subscription isn't paid through Stripe, it's paused, or it's canceled. Clients also don't see it when the service has no upgrade and downgrade paths.

Can I change only the add-ons?

Yes. Use Manage add-ons in the same three-dots menu.
