How to add and manage team members

Add team members, choose their role and permissions, check their workload and reviews, impersonate them, and restore deleted accounts.

Written by Gabriel Lecointere

Add your team to ManyRequests, choose what each person can see and do, and log in as a team member when you need to check their view.

Use case: you hire a new designer. Add them as a regular team member so they only see the requests assigned to them, check their workload a month later, and restore the account of a freelancer who comes back for a project.

Team roles

  • Portal admin: the owner of the portal. Has full access, including portal, onboarding and permission settings and your ManyRequests subscription.

  • Admin: manages clients, team, services, billing and most settings.

  • Regular team member: works on requests. What they can see and do depends on the team member permissions below. The list shows this role as Team.

How to add a team member

  1. Go to Users > Team.

  2. Click Create team member.

  2. Under Role, choose Regular team member or Admin.

The new team member gets an email to set their password and log in.

Good to know: each team member uses a seat on your ManyRequests plan. If you have no seats left, you see "You have reached the maximum number of seats for your subscription." Upgrade your plan to add more people. Read more in Understanding the new seat pricing.

How to see a team member's overview

In Users > Team, click a team member's name. The Overview tab shows:

  • Completed requests

  • Requests last month

  • Avg. rating (when reviews are on)

  • Active requests

How to edit, impersonate or delete a team member

  1. Go to Users > Team.

  2. Click the three dots next to the team member.

  3. Choose an action:

    • View: open their details.

    • Edit: change their name, email or role.

    • Impersonate: log in as them to see the portal from their side.

    • Generate new password: create a new password for them.

    • Delete: remove them from your team. This frees up their seat.

You can't impersonate yourself or the portal admin. To go back to your own account, click your name at the bottom left and choose Leave impersonation.

How to restore a deleted team member

  1. Go to Users > Team.

  2. Click Filters and turn on Include deleted users. Deleted team members show as Inactive.

A restored team member uses a seat again, and on seat-based plans your seat count is updated to match. If you try to create a team member with the email of a deleted one, the form offers to Restore team instead.
