How to hide client email addresses from your team

Turn on Enhanced Privacy so team members, such as contractors, see client names but not their email addresses.

Written by Gabriel Lecointere

Use case: You work with freelancers or contractors, and you don't want them to see your clients' email addresses and contact them directly. Turn on Enhanced Privacy and your team sees client names only.

Enhanced Privacy is a portal setting that hides client email addresses from everyone with the team member role. Portal admins and admins still see them.

Turn on Enhanced Privacy

You need to be the portal admin.

  1. Go to Settings > Portal and open the Advanced tab.

Portal settings with the Advanced tab highlighted
  2. Scroll to Enhanced Privacy ("When enabled, client emails will be hidden from team members.") and turn the switch on.

  3. Click Save changes at the bottom of the page.

The change applies right away to every team member. To show emails again, turn the switch off and save.

What team members see

With Enhanced Privacy on, team members no longer see client email addresses in:

  • the Clients list

  • an organization's Members tab and member details

  • the Owner line at the top of an organization, which shows the owner's name instead

Team members only see these pages if they're allowed to access clients. You control that in Settings > Modules and extensions > Users with Access all clients and Access managed clients. See Specific permissions for admin, client and team.

Good to know

  • Admins aren't affected. Portal admins and admins always see client emails.

  • Clients aren't affected. Clients see the same portal as before.

  • Nothing else changes for your team. Only the email address is hidden. Their permissions stay the same.

  • Names stay visible. Team members still see client names.
