How to use tags for organizations and requests

Add tags to organizations and requests, filter by them, and choose whether team members and clients can see or manage request tags.

Written by Gabriel Lecointere

Use case: You want to label clients and requests, for example marking a client as "Retainer" or a request as "Urgent", and then filter your work by those labels. Tags do this in one place, and you decide whether team members and clients can see or change them.

There are two kinds of tags: organization tags, which you add to a client organization, and request tags, which you add to a single request. Each kind has its own list of tags.

How to add tags to an organization

Admins can add and remove organization tags.

  1. In the sidebar, go to Users > Clients, open the Organizations tab and click the organization.

  2. In the panel on the right, find Tags.

  3. Click the plus sign (+) next to Tags. Pick an existing tag from the list, or type a new name and press Enter to create it. The tag is saved right away.

  4. To remove a tag, click the x on it.

You can also see and edit an organization's tags from the Organizations list: expand a row to manage its tags, and use Filters to show only organizations with a given tag.

How to add tags to a request

  1. Open the request. In the Summary panel on the right, scroll down to Tags.

  2. Click the plus sign (+) next to Tags, then pick an existing tag or type a new one and press Enter. The tag is saved right away.

  3. To remove a tag, click the x on it.

From the requests list: in List view, click the arrow at the end of a row to expand it. The Tags field in the expanded row works the same way, so you can tag several requests without opening each one.

In Kanban view: cards show the request's tags, but you can't edit them on the card. Open the request or use the list instead.

How to filter requests by tags

  1. In the sidebar, click Requests.

  2. Click Filters at the top of the list.

  3. Choose one or both tag filters:

    • Tags shows requests that have the selected request tags.

    • Organization tags shows requests from organizations that have the selected organization tags.

How to control who can see and manage request tags

Admins always see and manage tags. For team members and clients, you choose.

  1. In the sidebar, go to Settings > Modules and extensions.

  2. Click the cog on the Users card.

  3. Under Team members > Requests, set:

    • See request tags: team members can see the tags on requests.

    • Manage request tags: team members can add, create and remove request tags. This option appears only when See request tags is on.

  4. Under Clients > Requests, the same two options control what clients can do. Turn on See request tags first, then Manage request tags appears below it.

  5. Click Save changes.

Tip: If clients can manage tags, they can also create new ones. Leave Manage request tags off for clients if you want to keep your tag list tidy.
