How to create templates and checklists on requests

Add checklists to a request, save them as a reusable template and import a template into any request.

Written by Gabriel Lecointere

Use case: Every new design request goes through the same steps: kickoff, concept, design rounds, client feedback, delivery. Instead of typing those steps each time, save them once as a checklist template and add them to any request in two clicks.

What are checklists and templates?

  • Checklists are lists of steps inside a request, on its Checklists tab. Each item can be ticked off and assigned to someone.

  • Templates are saved sets of checklists you can add to any request, new or existing.

Turn on checklists

  1. Go to Settings > Modules and extensions > Requests.

  2. Turn on Request checklists. Requests now get a Checklists tab.

  3. Choose what clients can do with Full checklist access for clients. When it is on, clients can view and manage checklists just like team members. When it is off, clients only see the checklists assigned to them and cannot edit them.

  4. Click Save changes.

Add a checklist to a request

  1. Open a request and go to the Checklists tab.

  2. On a request without checklists, type a name in Add checklist title. On a request that already has some, click Add checklist below them first.

  3. Click the check mark to save the title.

  4. Click Add item to add each step.

  5. To assign an item, click the person icon at the end of its row and pick a team member or client. Drag the handle on the left of an item to reorder it.

Save checklists as a template

  1. On the Checklists tab of a request that has checklists, click Save as template.

  2. Enter a Template name. The window shows every checklist and item that will be saved.

  3. Click Save.

Good to know: a template saves the checklist titles, the items and whether each item is ticked. Assignees are not saved. Untick items before saving if you want every request to start from zero.

Add a template to a request

  1. Open the request and go to the Checklists tab.

  2. Click Start from a template if the request has no checklists yet, or Templates if it already has some. Start from a template only shows once you have saved at least one template.

  3. Pick a template on the left to preview its checklists.

  4. If the request already has checklists, choose Add to current checklists or Replace current checklists.

  5. Click Import.

You can then edit, assign or reorder the imported items like any other checklist.

Manage your templates

Click Templates (or Start from a template) on a request's Checklists tab to open the list of templates. To create your first template, save the checklists of a request with Save as template.

  • Create template starts a new, empty template. Add checklists and items to it in the preview.

  • Edit a template's checklists and items directly in the preview. Changes are saved as you go.

  • Use the three-dot menu next to a template's name to Rename or Delete it.

Tips

  • Standardize your process: templates help keep quality consistent and reduce missed steps, especially as your team grows.

  • One template per service: create templates such as "Logo design", "Landing page build" or "Ad campaign" so every request of that type starts the same way.

  • Cloning a request does not copy its checklists. Clone copies the request form. Use a template to bring the checklists along.

  • Only your team can use templates. The template buttons are visible to admins and team members, not to clients.
