How to create custom request statuses

Add, rename, recolor, reorder and delete request statuses from a request or the Kanban board, and learn which statuses have a special role.

Written by Gabriel Lecointere

Statuses show where each request stands. ManyRequests comes with a default set, and you can add your own, rename them, change their colors, reorder them and delete the ones you don't use.

Who can do this: only portal admins and admins can create, edit, reorder or delete statuses. Team members can move a request to another status, but they can't change the list of statuses.

Use case: Your designers finish a draft and wait for an internal check before the client sees it. You add an "Internal check" status so everyone can tell at a glance which requests are waiting for that check.

How to create a status from a request

  1. Open a request. In the Summary panel on the right, click the current status next to Status. You can also click a status in the Status column of the Requests list.

  2. In Search or create a status, type the name of the new status (up to 25 characters). Statuses whose name contains what you type stay in the list, so check it first: the Create row shows even when a status with that name already exists, and you would end up with two.

  3. Click Create followed by the name.

The new status is created in blue and the request you opened moves into it straight away. You can change the color afterwards.

How to create a status from the Kanban board

  1. Go to Requests and switch the view dropdown to Kanban.

  2. Scroll to the right end of the board and click Add section.

Add section button at the right end of the Kanban board
  3. Pick a color (yellow by default), type the name, then press Enter or click the check mark.

The status appears as a new, empty column. No requests are moved. Clicking outside the field also saves the status, so clear the name first if you change your mind: with an empty name, nothing is created.

How to edit, reorder or delete a status

Open the status picker on any request, then hover over a status. Three icons appear on the right: a pen (edit), a trash can (delete) and a handle (drag to reorder). The status the request is in now isn't listed, so open the picker on a request in another status to change that one.

  • Edit: click the pen, change the name, pick a color under Choose a color, then click Save changes.

Edit popover with the status name, color swatches and the Save changes button highlighted
  • Reorder: drag the handle up or down. The new order is used everywhere statuses are listed.

  • Delete: click the trash can. The status is deleted right away, with no confirmation step and no check for requests or settings that still use it, so move those requests to another status first.

On the Kanban board, you can also rename a column and change its color: hover over the column title and click the pen.

Statuses with a special role

Some statuses do more than label a request. In Settings > Modules and extensions > Requests you choose:

  • Status after creation: the status new requests start in.

  • Completed status and Closed status: the statuses that mean the work is done. See What is the difference between Closed and Completed status.

  • Queued status: the status requests wait in when a client has reached their limit of active requests.

If you rename or recolor one of these statuses, it keeps its role. Before you delete one, pick a different status for that role in the settings.

To move requests between statuses automatically when someone comments, see How to automatically change statuses.
