How to Set Up Client Onboarding

A step-by-step guide to creating a custom onboarding experience for your clients in ManyRequests.

📌 Use Case


You want your clients to feel welcome and guided the first time they log in to your portal. Instead of leaving them to figure things out on their own, you can create a custom onboarding page that walks them through everything they need to know– from watching a welcome video to accessing key links and resources.

How to Set Up Client Onboarding

  1. On your dashboard, click Settings on the left sidebar, then select Onboarding
    ​

  2. Three templates are available. Select the one that best fits your onboarding style and click Use Template:

  • Template step - a simple step-by-step onboarding flow with a title, description, video, and the option to add more steps

  • Template document - includes a welcome step, helpful tips section with links, and a quick links section for easy navigation

  • Template download - similar to Template document but includes a download section for files or resources

3. Once inside the template editor, fill in the following fields for each step:

  • Title - the heading for this step

  • Description - a brief explanation of what the client should do or know

Add or remove the video

  1. Click the video thumbnail on the right side of the step. An Insert video modal will appear with two fields:

    • To add a video - paste your video link in the Video URL field

    • To remove the video - clear the Video URL field and leave it empty, then click Save.

  2. You can also upload a custom Thumbnail image (recommended 390x190px) or leave it empty to disable it.

Edit the Watch Video Button (optional)

  1. Click the Watch video button to rename it. A small Edit button modal will appear where you can change the button text.

  2. Click Save.

Note: If no video URL is provided, the Watch video button will not appear to clients.

Add links to Internal Tabs or Resources

In the Helpful tips or Quick links sections (available in Template document and Template download), fill in the following for each item:

  • Title - the name of the link

  • Description - a brief description of where the link goes

  • Anchor text - the clickable link text. Enter your URL here to direct clients to internal portal tabs or external resources

  • Click +Add item to add more links

Use Custom HTML (optional)

For full design flexibility, toggle on Custom code in the top right corner of the Onboarding page.

This switches the editor to an HTML code editor where you can build a fully custom onboarding page. Three dynamic variables are available to personalize the page for each client:

  • {{email}} - replaced with client’s email address

  • {{name}} - replaced with the client’s name

  • {{ref}} - replaced with the client’s organization reference

Note: The site structure may change due to ongoing updates from the development team. Use the Preview tab to see how your custom page looks before saving.

  • Click Save changes to publish your onboarding page. Clients will see it the first time they log into your portal
