How to Use the Workload Management Feature

📌 Use Case:

Let’s say you manage multiple ongoing client projects and need to see who’s working on what, when projects are due, and how busy your team is. The Workload Management feature helps you visualize your team’s capacity, assign tasks efficiently, and prevent overbooking. It’s designed for agency owners, project managers, and team leads who want a quick, calendar-style overview of everyone’s workload.

How to Enable Workload Management

  1. Go to Settings.

  2. Find the Modules & Extensions section.

  3. Toggle Workload Management ON.

Once enabled, you’ll see the Workload View appear in both your Dashboard and Requests List.

Understanding the Workload View

The Workload View helps you:

  • See how much time is allocated per team member, per day.

  • Manage your team’s available working hours.

  • Adjust timelines and task ownership visually.

Key Highlights

  • Customize availability: Set how many hours each team member can work per week.

  • Drag and drop tasks: Easily move tasks between dates to adjust workloads.

  • Change start and end dates: Update timelines directly within the workload view.

  • Hover actions: Manage task status, assign team members, copy links, or open requests in a new tab - all without leaving the view.

Managing Time Estimates and Allocations

You can define time estimates to plan how long a request should take and assign portions of that time to specific team members.

  • The total estimate reflects the total expected time for the task.

  • Each team member has an individual allocation (for example, 2 hours each for a 4-hour task).

  • These allocations automatically appear under each person’s profile so everyone can see their share of the work.

Inside Each Request

When you open a request, you can:

  • Adjust start and end dates.

  • Update time estimates.

  • View how much time is assigned to each team member and in total.

This gives you full control over both the scheduling and time management aspects of every project.

Why Workload Management Matters

The feature helps you in three main ways:

  1. Capacity Planning:
    See at a glance who’s available and who’s at full capacity, making scheduling easier and preventing burnout.

  2. Calendar Visualization:
    View all projects and tasks plotted on a calendar timeline to track upcoming deadlines and delivery dates.

  3. Team Clarity:
    Team members can log in and immediately see what they need to work on today, tomorrow, and the rest of the week - no need to chase project managers for updates.

This not only keeps your team organized but also saves valuable time spent on daily task briefings.

Show Time Estimates to Clients (Optional)

By default, time estimates are visible only to your internal team.

If you’d like clients to see them:

  1. Go to Settings.

  2. Click on Modules & Extensions

  3. Select Requests

  4. Under Workload, enable Show Time Estimate to Clients.

Once enabled, clients will only see the total time estimate for a request (not the individual team allocations).

Frequently Asked Questions

  1. Who can access the Workload View?
    Only Admins and Team Members can view and manage workload data. Clients do not have access to this view.

  2. Can I customize the available hours for each team member?
    Yes. You can set weekly working hours for each team member to match their schedule or workload capacity.

  3. Can I drag and drop requests to change dates?
    Yes. You can easily adjust a request’s start and end dates by dragging it within the Workload View calendar.

  4. What’s the difference between total and individual time estimates?
    The total estimate reflects the overall time expected for a task, while individual allocations show how much time each team member is assigned from that total.

  5. Can clients see time estimates?
    By default, no. However, you can choose to make total time estimates visible to clients by enabling this option under Settings → Workload → Show Time Estimate to Clients.

  6. Does the Workload View update automatically when I change a request?
    Yes. Any updates to dates, assignments, or time estimates made within a request automatically reflect in the Workload View.

  7. Can I use the Workload View to track task progress?
    Not yet. The Workload View is designed for planning and allocation, not tracking completion. Progress tracking will be part of future enhancements.

  8. Is the Workload View available on mobile?
    The feature is currently optimized for desktop. Mobile support is planned for a future update.
