How to avoid duplicate email issues with multiple organizations

Use plus addressing to give one person a client account in more than one organization of your portal, with one inbox.

Written by Gabriel Lecointere

Use case: A freelancer or consultant works with two of your clients, say Northwind Studio and Bluebird Bakery, and needs to see the requests of both. When you try to add them to the second organization with the same email address, ManyRequests says the email has already been taken.

Why this happens

In your portal, one email address belongs to one user, and each client account belongs to one organization. So the same email address can't be a member of two organizations, or be both a team member and a client.

This only applies inside one portal. Portals of different agencies are separate, so someone can use the same email address in another agency's ManyRequests portal.

The workaround: plus addressing

Most email providers deliver mail sent to [email protected] to the [email protected] inbox. ManyRequests treats each version as a different email address, so you can create one client account per organization, and all notifications still land in the same inbox.

For example, if the person already uses [email protected] in Northwind Studio:

How to add the person to the second organization

  1. Go to Users > Clients, click the Organizations tab and open the second organization.

  2. Click the Members tab, then Add members.

Members tab of an organization with the Add members button highlighted
  3. Enter the person's name and the plus version of their email address, then click Create.

Add new member form with a plus address in the Email address field
  4. Tell the person which address to use for which organization. They log in with that address, and each account has its own password.

Good to know

  • Before you rely on it, send a test email to the plus address. A few email providers and company mail servers don't support plus addressing.

  • The person can set up an inbox filter on the plus address, for example to label everything sent to +bluebird as "Bluebird Bakery".

  • If ManyRequests says The user with the email address already exists., the address belongs to a client who was deleted. Click Restore client to bring the account back instead of creating a new one.

  • If the person only needs to move from one organization to another, you don't need a second account: open the actions menu (three dots) next to their name in Users > Clients and click Change organization instead.
