How to create a request on behalf of a client

Log a request for a client from the admin side, choose how it is billed, and let team members do the same.

Written by Gabriel Lecointere

Use case: Your client sent a brief by email, Slack or on a call instead of logging in to the portal. You log the request for them so your team can start right away. This also works for bonus work you give away for free, or a one-off job you want to bill.

Who can do this: admins and portal admins. Team members can too when Create requests is turned on for them (see below).

Create a request on behalf of a client

  1. In the sidebar, click Requests, then click Create Request at the top right.

Requests page with the Create Request button highlighted
  2. Under Client, pick the client from the list. Each entry shows the client and their organization. You can type to search.

  3. Under How do you want this service to be billed?, choose one of the options below.

Billing dropdown open with the three billing options highlighted
  • Create a Request free-of-charge: for goodwill or bonus work. You can pick any service from your catalog, and nothing is charged.

  • Deduct this Request from the services previously purchased by the client: for clients on a subscription or with prepaid hours, credits or quantity. Only the services the client already has are listed.

  • Send the client an invoice for this service: for one-off or custom work. ManyRequests creates an invoice for the service and sends it to the client. The request is created once the invoice is paid. This option only shows for admins when invoice management is turned on.

  1. Under Service, pick the service. Tags next to each service help you choose: Default service, Unlimited (a subscription), Deduct from hours, Deduct from credits or the quantity left.

Service dropdown listing the client's services with their tags
  2. Click Next, then fill in the title and the service's intake form. If the client's organization has brands, you can also pick a Brand.

  3. Click Create Request.

The request is added to the client's portal with the client as its creator, and it follows your usual workflow. If you picked the invoice option, you land on the Invoices page instead, and the request appears once the client pays.

Let team members create requests for clients

  1. Go to Settings > Modules and extensions > Users. Only portal admins see this page.

  2. Under Team members > Requests, turn on Create requests.

Users module settings with the Create requests switch highlighted
  3. Click Save changes.

Good to know: team members can only pick clients they have access to. If Access all clients is turned off, they only see the clients of organizations where they are the account manager.

FAQ

Why is the Service list empty or short?

With Deduct this Request from the services previously purchased by the client, only the services the client has bought are listed. Pick the free-of-charge option to see your full catalog.

Why can't I see the invoice option?

It only shows for admins and portal admins, and only when invoice management is turned on.
